I'm looking for someone who can help me keep my life, business, and production organized so I can focus on what I do best. There's a lot in motion at any given time: clients, contractors, communications, calendars, social media, and the occasional international trip. I need someone who can see the big picture, execute on the details, and write and communicate well enough to represent Mwendo when I'm not in the room.
This role sits at the intersection of a personal executive assistant, operations, and marketing manager. You'll work closely with our Video Producer, who handles project delivery, so you can focus on the communications, admin, and marketing that keeps everything running around them.
Part-time to start (20 hours/week), with real potential to grow.
RESPONSIBILITIES
Mwendo Operations & Administration (40%)
Own Mwita's inbox. Triage daily, flag what needs him, draft responses in his voice, keep it clean.
Own his calendar. Protect his time, batch meetings, and handle all scheduling back-and-forth.
Bookkeeping: track income, expenses, and prepare organized records for our accountant.
Maintain documents, client files, and general filing systems.
Support client onboarding and offboarding alongside the producer: Contracts, invoices, feedback requests, and referral asks.
Research as needed: potential clients, funding opportunities, grant deadlines, market context.
Support Mwita’s HopeCo board logistics as needed.
Marketing & Social Media (25%)
Manage Mwendo's Instagram and LinkedIn presence: scheduling, captions, and engagement.
Pull short-form content and clips from existing project footage with direction from Mwita.
Write and send email updates and newsletters.
Maintain and update Mwendo's website (Squarespace).
Assist with sizzle reels, pitch decks, and marketing materials as projects arise.
Production Support & Cross-Training (15%)
Support the Senior Producer on coordination tasks: travel booking, vendor communication, logistics.
Learn Mwendo's production workflows well enough to cover when capacity is needed.
Assist with distribution of finished content to clients and platforms.
Attend local productions as needed.
Personal Support (20%)
Coordinate personal appointments.
Home management: contractors, repairs, deliveries.
Research, shopping, and returns
Gift tracking and personal occasion management.
Personal admin: document gathering, subscription management, accountant prep.
Family travel research, booking, and itinerary logistics.
Coordinate family schedules and logistics as needed.
REQUIREMENTS
IDEAL QUALIFICATIONS
3-5 years in an executive assistant, operations coordinator, or similar role
Strong written communication; you'll be writing in Mwita's voice regularly and it needs to sound like him
Demonstrated experience managing social media accounts (Instagram and LinkedIn preferred)
Extremely organized; you build systems, not just follow them
Proactive; you see what's coming and handle it before being asked
Discreet; you'll have access to sensitive professional and personal information
Comfortable with Google Workspace, Slack, and learning new tools quickly
Sterling, VA area required; several responsibilities are in-person
Comfortable with occasional travel and production days

PHYSICAL REQUIREMENTS
Occasional 12-hour production days
Must be able to lift up to 30 lbs on set
WORKING RELATIONSHIP
Part-time, 20 hours per week to start
Mix of remote and in-person (Sterling, VA area required)
Works closely with the Senior Producer; direct report to Mwita
Flexible schedule with responsiveness expected during core hours
Measured on outcomes and trust, not hours logged
COMPENSATION
$22-28/hour depending on experience
Room to grow hours and scope as the role develops
